1. Who We Are

Axio Oil Suite ("we", "us", "our") is a cloud-based fuel station management platform operated by Axio Technology Ltd, registered in Ghana. Our platform is accessible at https://axiosuite.com.

2. Data We Collect

We collect the following categories of data when you use Axio Oil Suite:

  • Account Data: Company name, email address, phone number, country, and administrator details provided during registration.
  • Usage Data: Pages visited, features used, session duration, browser type, IP address and device information.
  • Business Data: Fuel sales records, pump meter readings, tank levels, staff information, credit sales, delivery records and financial reports you enter into the system.
  • Payment Data: Transaction references and amounts processed via Paystack. We do not store card numbers — all payment processing is handled by Paystack.
  • Communications: Messages you send via our live chat widget or support channels.

3. How We Use Your Data

  • To provide and maintain the Axio Oil Suite service
  • To process subscription payments and send billing notifications
  • To send SMS alerts relevant to your business operations
  • To provide customer support and respond to enquiries
  • To improve our platform through aggregated, anonymised analytics
  • To comply with legal obligations

4. Data Sharing

We do not sell your personal data. We share data only with:

  • Paystack: Payment processing (subject to Paystack's Privacy Policy)
  • BulkSMS Ghana: SMS delivery for OTP codes and business alerts
  • Hosting Provider: cPanel shared hosting for platform infrastructure
  • Law enforcement: When required by applicable law

5. Data Retention

We retain your account and business data for as long as your subscription is active, plus 12 months after cancellation to allow data export. You may request deletion at any time by contacting us.

6. Your Rights

Depending on your jurisdiction, you have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion of your data
  • Export your business data in CSV or PDF format
  • Object to processing or withdraw consent

8. Security

We use industry-standard security measures including HTTPS encryption, hashed passwords (bcrypt), role-based access controls and daily database backups. No system is 100% secure, but we take every reasonable precaution.

Axio Oil Suite is a business platform not intended for use by persons under 18. We do not knowingly collect data from minors.

10. Changes to This Policy

We may update this policy from time to time. We will notify registered users of significant changes via email or in-app notification. Continued use of the platform after changes constitutes acceptance.
